Who we are
This website is run by Cyberspace Waves ("we", "us"). If you have any question about this policy or your data, email us at cyberswaves@outlook.com.
What we collect and why
- Contact form. Your first and last name, email address, phone number and message, plus your IP address and the time you sent it. We use these only to read and answer your message; our team gets an email alert with your message so we can reply quickly.
- Newsletter. Your email address, your IP address and the date you subscribed. We first email you a link to confirm the subscription, and only send newsletters once you have confirmed. Every newsletter has an unsubscribe link.
- Booklet requests. Your email address, the booklet you asked for, your IP address and the time of the request. We email you a personal download link that works once and expires after 7 days.
- Career path quiz. Your answers and the pathway they match, stored without your name so we can see which careers interest visitors. If you ask us to email your result, we also keep your email address with it.
- Protection against abuse. We use IP addresses to limit how often the forms and the staff login can be used. These records delete themselves automatically when the time limit ends.
- Usage statistics. We use Vercel Web Analytics and Speed Insights to see which pages are visited and how fast they load. These tools report aggregated figures and do not use cookies.
We do not sell your personal data or use it for advertising.
Cookies
The public pages of this site do not set their own cookies. The contact form uses Google reCAPTCHA to block spam; reCAPTCHA may set cookies and collect information about your device, under Google's Privacy Policy and Terms of Service. Our staff dashboard uses one essential cookie to keep staff signed in.
Services that process your data for us
- Vercel: hosts the website, stores the booklet files and provides the usage statistics.
- MongoDB Atlas: stores contact messages, newsletter subscriptions, booklet requests and quiz results. An encrypted daily backup is kept in Vercel for 30 days.
- Mailtrap: delivers our emails (booklet links, newsletter confirmations and newsletters, quiz results and replies to your messages).
- Google reCAPTCHA: checks that contact form submissions come from a person.
- Sentry (if enabled): records technical error reports so we can fix problems. We don't send it your form contents.
How long we keep it
We keep contact messages and booklet requests for as long as we need them to deal with your request, and newsletter subscriptions until you unsubscribe. IP addresses are deleted automatically after 90 days. You can ask us to delete your data sooner at any time.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct or delete it, object to how we use it, or unsubscribe from the newsletter. Email cyberswaves@outlook.com and we will handle your request. If you live in the EU or UK, you also have the right to complain to your local data protection authority.
